5 Ways To Improve Workforce Management

The world is an imperfect place and the business world even more so. If you want to get ahead and get growing, there are steps you can take to set you on your way. One obvious one place to take a look at is workforce management.

1. Plan for Plan B:

Forewarned is forearmed, things are going to go wrong. We know as sure as we know the sun will rise tomorrow. If you can factor in this unfortunate fact, you’ll be able to stay ahead of the curve. Focus on attrition. If you count on a lot of labor, then you can count on some of your labor going south. Work out the daily percentage of no-shows and if necessary you can over accommodate to cope with the shortfall.

2. Procedures Rule:

If things do go wrong (and I think we both know that they do), you need to be able to deal with the situation. Putting in place, solid actionable procedures to deal with issues you commonly face is a must.  If your systems go down, have your managers ready to go on group training sessions.  If there are long queues, have managers ready to pick up phones or jump on tills. Whatever the problem, having a proper procedure can lessen the stress for all concerned.

3. Go Digital:  

There a number of good software and app-based solutions out there to help you automate some of the problems associated with workforce management. We provide one and it’s excellent. But there are others too.

4. Give Responsibility:

Give your staff a little bit of responsibility. It’s been proven that by allowing staff to ‘own’ their roles and stations they take more pride and responsibility for them. It’s good for moral too as it shows your staff that you trust them to cope with problems and a little bit of trust goes a long way.

5. Get To Know Your Hourly Numbers:

Sure, weekly figures are essential.  But ask yourself: what you are missing by not considering your daily and even hourly figures? You could be missing peaks and troughs, opportunities to trim staff or bulk up on those times when the phone is ringing off the hook. 

If only you had some way to automate it like our… OK OK, you got us. But on a serious note, it’s worth breaking down those numbers. You don’t need to do it every day (although if you can you should). Getting to grips with those all-important KPI (key performance indicators) is a great way to benchmark your business and can help you grow and evolve.
